Google’s Gemini AI is getting a bigger role across Docs, Sheets, and Slides

Google is enhancing its Workspace apps by integrating its Gemini AI assistant even further. The updates, available to Google Workspace and AI plan subscribers, include a new Gemini chat window within Google Docs, the ability to create entire spreadsheets with AI, and a new Gemini-powered search feature in Drive.

Previously, Google Docs provided AI writing suggestions next to your cursor. Now, a Gemini chat window will appear at the bottom of your screen. Here, you can describe the type of document you want to create, and Gemini will use data from the web, Drive, Gmail, and Chat to generate and format a draft. You can also ask Gemini to match the format of an existing document, saving you time on editing.

Google is also introducing improvements to Gemini-powered editing features in Docs. When collaborating on a document, you can highlight text from others and choose “Match writing style.” Gemini will analyze the tone of your document and adjust the text accordingly. It can also make changes throughout the document based on a prompt, displaying suggestions inline. These suggestions remain private until approved.

Yulie Kwon Kim, Google’s VP of product for Workspace, emphasizes the goal of integrating Gemini seamlessly into users’ work environments. The aim is to provide assistance within familiar apps like Docs, eliminating the need to navigate to separate platforms.

In Sheets, Gemini’s role is expanding. You can now ask Gemini to create entire spreadsheets by describing them. The AI assistant pulls data from your files, emails, chats, and the web to generate the spreadsheet. Additionally, Gemini can populate tables using data from existing spreadsheets or the web, going beyond last year’s AI functions.

Google demonstrated how Gemini can search for and populate columns with information like locations, revenue, and market capitalization of companies in a spreadsheet. Another upcoming feature in Sheets will assist with analytical tasks, such as optimizing employee scheduling based on profit and staff availability.

Slides will also receive a Gemini-powered upgrade, allowing you to ask the AI assistant to generate slides and format them to match your presentation. You can prompt Gemini to edit slides, streamlining the formatting process. Google plans to introduce the ability to generate entire presentations based on text prompts and Workspace data in the near future.

To simplify file management in Workspace, Google is transforming Drive into an active knowledge base. When searching for files using natural language, an AI Overview will be presented, similar to Google Search. Instead of web results, it will display relevant documents or provide answers with citations. A new “Ask Gemini in Drive” feature allows users to inquire about stored files or information from Gmail, Calendar, and Chat. Users can control the sources included in the search and focus on specific folders.

These new features come with enterprise-grade data protections and are rolling out in English to Google AI Pro and Ultra subscribers, as well as Workspace customers with Gemini Alpha enabled.
